Adopt a Resolution to Approve and Authorize the City Manager to Execute Software Maintenance Renewals in FYs 2025-2026 and 2026-2027 with Accela Inc. for the City’s Permitting and Citizen Access Systems for a Combined Amount of $286,008. Cost in FY 2025-2026 is $139,049. Total Cost For 2-Year Maintenance Renewals Will Not Exceed $286,008.
BACKGROUND
The City of San Leandro implemented the Accela Permitting system in 2013. Additional modules were added to assist City departments, improve automation, and provide online access to community members and businesses.
Analysis
This annual software agreement renewal covers all the licenses needed by City departments to fully utilize the software and related software modules. This contract also includes services from the vendor, such as new software upgrades as they become available, and technical support.
Legal Analysis
The City Attorney’s office reviewed and approved the consulting services agreements, purchase orders, this staff report and resolution as to form.
Financial Impacts
The combined total cost for FYs 2025-2026 and 2026-2027 will not exceed $286,008.
Sufficient funds are included in the adopted FYs 2025-2026 and 2026-2027 Information Technology Internal Service Fund budget to cover the costs for the two-year maintenance renewal with Accela, Inc. for the City’s Permitting and Citizen Access Systems.
This Council action will not impact fund balance as there are funds available in the adopted budget.
