Staff recommends City Council adopt a resolution to approve and authorize the City Manager to execute purchase orders for Fiscal Years 2024-2025 and 2025-2026 with SirsiDynix for annual renewals of the Library Information System for the combined amount not to exceed $224,150. The estimated renewal cost for Fiscal Year 2024-2025 is $106,743.
BACKGROUND
The City of San Leandro has maintained an annual subscription contract with SirsiDynix for its Library Information System (LIS) since 2005 and has been satisfied with their service.
Analysis
The City of San Leandro subscribes to the SirsiDynix Library Information System, which is hosted by SirsiDynix and delivered over the Internet. This Software-as-a-Service (SaaS) system provides the core applications required to maintain the Library Department’s operations, such as inventory management, account management, self-check-out, online content, and more.
The City is charged annually through a subscription to the various systems. In addition, the vendor provides software updates and technical support. This annual renewal covers all the licenses needed by Staff to fully use the software.
Previous Actions
In previous fiscal years, staff executed purchase orders with SirsiDynix for annual software renewals. The renewal amount in Fiscal Year 2023-2024 was $99,990.
Legal Analysis
The City Attorney’s office reviewed and approved the purchase agreements as to form.
Financial Impacts
The total cost for FY 2024-2025 is $106,743.
Sufficient funds are included in the FY 2023-2024 Information Technology Internal Service Fund budget for this renewal:
