SUMMARY AND RECOMMENDATIONS

 

Adopt a Resolution to Approve and Authorize the City Manager to Enter into a Consulting Services Agreement with ConvergeOne for a Data Center Server Upgrade in the Amount of $388,385 and to Authorize an Individual Amendment Up to 10% (or $38,836) of the Original Agreement.

 

BACKGROUND

 

More than 115 servers, and over 250 terabytes of data are managed by the Department of Information Technology (IT) as part of the City's essential functions, including Public Safety. To ensure the effective and efficient running of the City's operations, it is critical that aging servers and technology equipment are regularly and promptly replaced.

 

Computer servers allow City employees to utilize critical business applications, share resources, access data, and share documents. In their present state, the City’s servers and supporting software have reached the end of their supported manufacturer’s lifecycle and need replacement.

 

Analysis

 

Staff recommends the procurement for server equipment and services by ConvergeOne through the National Association of State Procurement Officials (NASPO) Contract #MNWNC-109, a cooperative purchasing agreement for Dell equipment that is available to public agencies in the state of California, including local government agencies.

Legal Analysis

 

The City Attorney’s office reviewed and approved the purchase agreements as to form.

 

Fiscal Impacts

 

The total one-time cost for servers and implementation services is $388,385.

 

There are no ongoing maintenance costs. The agreement includes a five-year extended hardware and software warranty with 24/7 support.

 

Budget Authority

 

There are sufficient funds in the 688 Fund Balance to Appropriate into Account 688-13-001-5310.
