SUMMARY & RECOMMENDATIONS

 

Staff recommends City Council adopt a Resolution to Approve and Authorize the City Manager to Execute Purchase Orders for Fiscal Year 2023-2024 with Dell Technologies for Computers and Technology Equipment Using the State of California NASPO ValuePoint Master Price Agreement for the Combined Amount of $300,000.

 

BACKGROUND

 

The Information Technology Department (IT) maintains over 500 computers, 200 mobile phones and iPads across the City to support important business functions. Regular and prompt replacement of aging computers and technology equipment is critical to ensure the effective and efficient operation of City business.

 

The current state of computers and technology equipment utilized by City staff is aging and in desperate need of replacement. The existing fleet of computer equipment utilizes legacy desktop technology and does not support the mobility needs of a modern workforce. This situation causes significant inefficiencies and a negative impact on work productivity.

 

Analysis

 

Staff recommends utilizing the State of California NASPO ValuePoint Master Price Agreement, a statewide competitively bid contract, to obtain the best pricing available for the City.

Previous Actions

 

In Fiscal Year 2023, staff executed purchase orders with Dell Technologies for $300,000 to purchase computers and technology equipment to address urgent needs to replace aging computer equipment.

On December 18, 2022, the City Council approved a Microsoft Enterprise Agreement for an annual renewal with Dell Technologies, starting in FY 2022-2023 for $188,844, Reso. No. 2022-222;

On December 8, 2022, Staff executed a Purchase Order with Dell Technologies for $98,765 to purchase computers and technology equipment to address urgent needs to replace aging computer equipment.

Legal Analysis

 

The City Attorney’s office reviewed and approved the purchase agreements as to form.

 

Financial Impacts

 

The total cost for FY 2023-2024 is $300,000.

 

Sufficient funds are included in the FY 2023-2024 Information Technology Internal Service Fund budget for technology equipment:

 

                     Information Technology, Account 688-13-001-7410:                     $300,000

                     Total                                                                                                                                                                        $300,000

 

This Council action will not impact fund balance because there are funds available in the FY2023-2024 adopted budget.
